HOW DO WE COLLECT INFORMATION FROM YOU?

We obtain information about you when you use our website, for example, when you contact us about products and education services, to make a donation, and when you register to receive one of our newsletters.

WHY WE NEED IT

We collect your personal data in connection with specific activities, such as education workshops, campaign updates, newsletter requests, product purchases, feedback, donations, competition entries, information you provide in public forums on our sites and applications.

We also gather general information about the use of our websites, such as pages visited and areas that are of most interest to users. We use this information to improve our website and make it a better experience for everyone. For further information, please see the cookies section below.

The personal information we collect might include name, address, email address, telephone numbers, date of birth or bank account details (for setting up regular direct debit or payment information).

Data Protection law recognises that certain categories of personal information are more sensitive. These are known as special categories of data and cover health information race, religious beliefs and political opinions. We do not usually collect special categories of data about our supporters unless there is a clear reason for doing so, such as participation in a run or walk or similar fundraising event, where we need to ensure we provide the appropriate facilities, or to enable you to participate in an event.

WHAT TYPE OF INFORMATION IS COLLECTED FROM YOU?

The personal information we collect might include your name, address, email address, IP address, and information regarding what pages are accessed and when. If you make a donation online or purchase a product from us, your card information is not held by us, it is collected by our third party payment processors, who specialise in the secure online capture and processing of credit / debit card transactions, as explained below.

We adopt appropriate data collection, storage and processing practices and security measures to protect against unauthorized access, alteration, disclosure or destruction of your personal or transactional data stored on our website and systems.

The website will not contain any personal data that is not absolutely necessary. Where information is captured on the website, a clear policy statement will be provided, and no personal data will be captured without the knowledge of the data subject.

Photographs, recordings, videos or DVDs in which individuals are identifiable will only be used with their explicit written consent.

Manual files containing sensitive information about individuals will be labelled confidential and kept in locked filing cabinets, accessible only to relevant staff..

Computer files containing sensitive information about individuals will be password protected and accessible only to relevant staff.

Information no longer required will be disposed of appropriately, including ensuring that data is non-recoverable from any computer system.

Data about individuals shall be deleted on the request of the individual when the data is no longer used or required by the UK Sepsis Trust for legal, financial or contractual reasons.

HOW IS YOUR INFORMATION USED?

We may use your information to:

  • process a donation that you have made;
  • process orders that you have submitted;
  • to carry out our obligations arising from any contracts entered into by you and us;
  • dealing with entries into a competition;
  • seek your views or comments on the services we provide;
  • notify you of changes;
  • send you communications which you have requested and that may be of interest to you. These may include information about campaigns, education workshops other fundraising
  • Activities, promotions of our associated companies goods and services;
  • process a job application.

The information is either needed to fulfil your request or to enable us to provide you with a more personalised service. You don’t have to disclose any of this information to browse our sites. However, if you choose to withhold requested information, we may not be able to provide you with certain services.

WHAT ARE YOUR RIGHTS?

  • A new data protection law, starting in May 2018, gives everyone a number of very important rights. These are:

OUR MARKETING

Sometimes, with your consent, we will process your personal data to provide you with information about our work or our activities that you have requested or are expecting.

On other occasions, we may process personal data when we need to do this to fulfil a contract (for example, if you have purchased something from our web shop) or where we are required to do this by law or other regulations.

UKST also processes your data when it is in our legitimate interests to do this and when these interests do not override your rights. Those legitimate interests include providing you with information on our fundraising, education workshops, training, newsletter requests, feedback, competitions and other activities.

We believe in being open, honest and transparent with our supporters and want you to feel comfortable about your decision to give us your personal information and how we use it.

We will use the details you provide to us to communicate with you about how we are transforming lives. We would also like to tell you how your support is helping and other ways you can help in the future whether that’s through volunteering, events or fundraising. From time to time we might also send you appeals asking for a donation to help change lives.

We promise that will only communicate with you in the way you wish us to and we will always respect your privacy. You can change your mind at any time and it’s quick and easy to let us know that you no longer want to hear from us by emailing us on info@sepsistrust.org. We will always respond to your wishes in a sensitive, timely, courteous and professional way.

Please be assured that we will take appropriate measures to keep your personal information safe and secure and we promise not to over contact. We will never pass your personal information on to other organisations for them to use for their own marketing purposes.

We will only communicate to you in the way you have told us. For example:

  • EMAIL/TEXT MARKETING
    • If you actively provide your consent to us along with your email address and/or mobile phone number, we may contact you for marketing purposes by email or text message. By subscribing to UKST emails or opting in to email communication from UKST you, grant us the right to use the email for email marketing.
  • POST
    • If you have provided us with your postal address or telephone number we may send you direct mail or telephone you about our work unless you have told us that you would prefer not to receive such information or we receive a notification from you that you have requested marketing communications to stop.

USING YOUR CREDIT OR DEBIT CARD

If you use your credit or debit card to donate to us, buy something or pay for a registration online or over the phone we will ensure this is done securely and in accordance with the Sage Pay Security Standard.

We do not store your credit or debit card details at all following the completion of your transaction. All card details are securely destroyed once the payment or donation has been processed.

When you are using our secure online donation pages, a third party payment processor, who specialises in the secure online capture and processing of credit and debit card transactions, processes your donation. HOW YOU CAN ACCESS AND UPDATE YOUR INFORMATION

The accuracy of your information is important to us. We are working on ways to make it easier for you to review and correct the information that we hold about you.
