How do we collect information from you? 

We collect information about you when you use our website, such as when you contact us about products and educational services, make a donation, or register to receive one of our newsletters. 

Why we need it 

We collect your personal data in connection with specific activities, such as support, educational workshops, campaign updates, newsletter requests, product purchases, feedback, donations, competition entries, and information you provide in public forums on our sites and applications.

The personal information we collect may include your name, address, email address, telephone numbers, date of birth, or bank account details (for setting up regular direct debits or payment information). 

Data protection law recognises that certain categories of personal information are more sensitive. These are known as special categories of data and cover health information, race, religious beliefs, and political opinions. We do not usually collect special categories of data about our supporters unless there is a clear reason for doing so, such as participation in a fundraising event where we need to ensure appropriate facilities or enable your participation. 

What type of information is collected from you? 

The personal information we collect may include your name, address, email address, IP address, and information regarding what pages are accessed and when. If you donate online or purchase a product from us, your card information is not held by us; it is collected by our third-party payment processors, who specialise in the secure online capture and processing of credit/debit card transactions, as explained below. 

We adopt appropriate data collection, storage, processing practices, and security measures to protect against unauthorised access, alteration, disclosure, or destruction of your personal or transactional data stored on our website and systems. 

The website will not contain any personal data that is not absolutely necessary. Where information is captured on the website, a clear policy statement will be provided, and no personal data will be captured without the knowledge of the data subject. 

Photographs, videos, or DVDs in which individuals are identifiable will only be used with their explicit written consent. 

If you contact the UKST, you may choose to provide details of a sensitive nature, including health information and your personal experience. We will treat this information with extra care and confidentiality and in accordance with this privacy policy. Contacts are confidential, and calls are not recorded. 

Manual files containing sensitive information about individuals will be labelled confidential and kept in locked filing cabinets, accessible only to relevant staff. 

Computer files containing sensitive information about individuals will be password-protected, and network restrictions will ensure they are accessible only to relevant staff. 

Information no longer required will be disposed of appropriately, ensuring that data is non-recoverable from any computer system. This typically occurs within 9 days. 

Data about individuals shall be deleted upon the individual’s request when the data is no longer used or required by the UK Sepsis Trust for legal, financial, or contractual reasons. 

How is your information used? 

We may use your information to: 

  • Process a donation that you have made, claim Gift Aid on your donations, and verify any financial transactions. 
  • Process orders that you have submitted. 
  • Provide training and service improvement. 
  • Use artificial intelligence to assist with prioritising non-clinical decisions, training, and quality purposes. 
  • Carry out our obligations arising from any contracts entered into by you and us. 
  • Manage entries into a competition. 
  • Seek your views or comments on the services we provide. 
  • Notify you of changes. 
  • Send you communications that you have requested and that may be of interest to you. These may include information about campaigns, educational workshops, and other fundraising activities, as well as promotions of our associated companies’ goods and services.

The information we collect is either needed to fulfil your request or to enable us to provide you with a more personalised service. You don’t have to disclose any information to browse our sites. However, if you choose to withhold requested information, we may not be able to provide you with certain services. 

If you share your personal experience or health information with us via telephone, email, or other means, we will treat this information with extra care and confidentiality in accordance with this privacy policy.

Our marketing 

Sometimes, with your consent, we will process your personal data to provide you with information about our work or activities that you have requested or are expecting. 

On other occasions, we may process personal data when we need to fulfil a contract (for example, if you have purchased something from our web shop) or when required by law or other regulations. 

UKST also processes your data when it is in our legitimate interests to do so, and when these interests do not override your rights. These legitimate interests include providing you with information on our fundraising, educational workshops, training, newsletter requests, feedback, competitions, and other activities. 

We believe in being open, honest, and transparent with our supporters and want you to feel comfortable about your decision to share your personal information with us and how we use it. 

We will use the details you provide to communicate with you about how we are transforming lives. We would also like to inform you of how your support is helping and other ways you can help in the future, whether through volunteering, events, or fundraising. From time to time, we might also send you appeals asking for donations to help change lives. 

We promise to communicate with you only in the way you prefer and always respect your privacy. You can change your mind at any time, and it’s quick and easy to let us know if you no longer wish to hear from us by emailing info@sepsistrust.org. We will always respond to your wishes in a sensitive, timely, courteous, and professional manner. 

Please be assured that we will take appropriate measures to keep your personal information safe and secure, and we promise not to over-contact you. We will never pass your personal information on to other organisations for their own marketing purposes. 

Email/text marketing 

If you actively provide your consent and email address and/or mobile phone number, we may contact you for marketing purposes by email or text message. By subscribing to UKST emails or opting in to email communication from UKST, you grant us the right to use your email for marketing. 

Post 

If you have provided us with your postal address or telephone number, we may send you direct mail or call you about our work unless you have indicated that you prefer not to receive such information or have requested that marketing communications stop. 

Using your credit or debit card 

If you use your credit or debit card to donate to us, purchase something, or pay for registration online or over the phone, we will ensure this is done securely and in accordance with the Sage Pay Security Standard. 

We do not store your credit or debit card details following the completion of your transaction. All card details are securely destroyed once the payment or donation has been processed. 

When you use our secure online donation pages, a third-party payment processor, who specialises in the secure online capture and processing of credit and debit card transactions, processes your donation. How you can access and update your information 

The accuracy of your information is important to us. We are working on ways to make it easier for you to review and correct the information we hold about you.
